Scholarship
NOTE: YOU WILL BE RESPONSIBLE FOR CONFERENCE REGISTRATION AS WELL AS MAKING YOUR OWN HOTEL AND OTHER TRAVEL ARRANGEMENTS.
Amount and Eligible Expenses:
- Up to $725 for:
- Registration ($310 for general participants, $170 for Lead Presenters)
- Travel expenses ONLY (no meals reimbursed):
- Transportation: Mileage, parking
- Hotel (up to 2 nights)
Eligibility:
- Practitioners and volunteers in Minnesota Adult Education programs only *
* NOTE to DOC participants: As a state-funded grant program, ATLAS is not permitted to directly pay or reimburse any state employee, including Minnesota State System and DOC staff. Scholarships may be granted to support DOC practitioner participation, but funds must be reimbursed to each DOC facility rather than to individual DOC personnel. Before applying for the scholarship, please contact your manager to verify if your facility can cover your expenses up front and receive reimbursement from ATLAS. Payment:
Scholarship funds will be disbursed as reimbursements after the conference. Keep in mind that you will need to submit the following documentation in digital format for reimbursement:
- Registration: a receipt showing the total paid
- Hotel: a hotel receipt showing a ZERO BALANCE (or balance paid)
- Transportation: a transit or parking receipt, if applicable (no documentation needed for mileage)
To apply for your scholarship funds:
- After you register for the conference, save your registration receipt (showing amount paid) in digital form:
- If it’s a PDF document, great! Keep it in a safe place on your computer.
- If it’s an email, you can make it into a PDF by clicking on Print and then choosing “Save as PDF” as the destination rather than choosing a particular printer.
- In a pinch, you can always screenshot it or print it off and take a photo of it.
- At the conclusion of the conference, ask for a hotel receipt showing a zero balance. Also save any transit or parking receipts.
- Convert them to digital format using any of the methods described above.
- After the conference, go to the Submit Invoice page and follow the directions there to submit the following:
- ATLAS invoice: this is all online – no printing necessary!
- Registration receipt showing amount paid: upload your receipt right into the online invoice
- Transit/parking and hotel receipts: upload your receipts right into the online invoice
- Form W-9: only if ATLAS/Hamline has never paid you before; you will upload this form to a secure folder (do NOT email it, as that is not a secure delivery method; instructions are in the middle of the Submit Invoice page)
- ATLAS invoice: this is all online – no printing necessary!
